Safety Compliance Checks

In order to publish a campervan for hire, they must provide:
  1. Up-to-date MOT (updated annually)
  2. gas safety cert (updated annually) 
  3. weighbridge readout (provided once, if no major changes are made to the van) 
And before a campervan can be rented by a customer, the campervan owner must have: 
  1. Insurance in place (updated annually) 
In order to make sure we have up-to-date information for all campervans, reminders are sent out to campervan owners when we require an up to date Gas Cert, and MOT renewal date from campervans owners.
Owners are then sent a link to update this information on Quicktracks (MOT date and Gas Cert renewal date) and Wheelbase (Gas Cert) 


To make sure we have up to date information on our system, the below Safety Compliance Checks should be made periodically every quarter: 
  1. MOT 
  2. Gas Safety Cert
  3. Weighbridge 
  4. Insurance 
  5. Wheelbase Information Checks 
MOT
  1. MOT reminders sent to owners through quicktracks, and updated by owners. Can be manually checked through the DVLA Website 
  2. Campervans who do not have up to date MOT are listed in MOT Overdue on Quicktracks
  3. If owner is on this list, check the campervan's licence plate on the DVLA website. If MOT has expired, contact the owner and unpublish vehicle while we wait for up to date MOT 
Gas Safe Cert
  1. Gas Safe reminders sent to owners through quicktracks, and updated by owners. 
  2. Campervans who do not have up to date Gas Safety Cert are listed in Gas Overdue on Quicktracks
  3. If owner is on this list, check the campervan's documents tab on Wheelbase. If the Gas Safe Cert has expired, contact the owner and unpublish vehicle while we wait for up to date Gas Safe Cert
Weighbridge 
  1. Weighbridge readout out to be added by campervan owner once they are onboarded to the Wheelbase to the 'Documents' tab 
  2. Weighbridge readout should be filled on in the 'edit' section under 'Dry Weight'
  3. If campervans exceed the recommended payload (ie. campervan needs to allow for a payload of 90kg per belted seat plus 100kg for luggage), manually add a payload warning to the 'Description' box on the campervans Wheelbase profile 
Insurance Check
  1. Campervan Owners record their insurance provider through Quicktracks. This can be checked under 'Live On Website' and under the column 'Insurance Provider'
  2. All campervans who are insured by Alan Boswell should select either 'Annual' (annual premium, does not have to contact Alan Boswell for each customer) or 'Daily (pay as you go insurance, needs to arrange individual insurance for each customer). 
  3. If a campervan owner has selected 'Other', contact them to find out the details of their insurance provider, to make sure that their policy is in line with Quirky Campers T&C's 

Wheelbase Information Checks 

In order to make sure all information for campervans is correct on Wheelbase, check the Campervan Details Check Wheelbase - WB api

Here we can see all information for live campervans on Wheelbase. Use this spreadsheet to check the following in the relevant columns. 
  • Unladen Weight (CP) - No blanks, or over MAM 
  • Mam Weight (CD) - Should be 3500 or above if c1 classifed, no blanks  
  • Number of berths - child + adult berths (CR) - Should be '0'
  • Seatbelts (BP) - No blanks
  • Turn around time (CB) - Should be blank, 1 or more, any more than 3, check with owner to make sure this is correct. Should not be 0 unless very experienced owner
  • Cancellation policy (A) - Should only be 'custom'
  • Security deposit (BG) should only be '50000'
  • Base Rate (BF) - Scan for outliers, anything over 15000 (base rate of £150) may be a mistake, and changed by owner who does not understand WB pricing rules. 
  • Payload (CU) - Include payload warning in van description (WB>Search Campervan>'Edit') for campervans that pre-populate with a paylord warning. 
The above checks should be done every 3 months, with the last check completed on: 30th of October 2024
